Sporting Systems implemented an automated database system for the Harrow Youth Football League (HYFL) and its associated organisation, the Harrow Soccer Combination (HSC), in September 2015 just 2 months after being given a system specification.
The combined HYFL/HSC is one of the largest youth football leagues in the country with 85 clubs, 670 teams and 10,000 players. The clubs, teams and players are all recorded on the system as are all referees officiating at games. With this data pre-loaded it allows a match result form* to be completed and submitted in 30 seconds directly to the HYFL/HSC database. This is just a small fraction of the time it previously took team managers to hand write a match result card that allowed mistakes to be made. Mistakes are now largely eradicated due to the drop-down menus used in the automated form. The manually written card then had to be posted, some of which failed to arrive and led to fines for the clubs. Our automated system returns a unique identifier for each submission which can be provided as evidence by the club in the case of a dispute.
Once a match result form is submitted the data is committed to a database which then allows a complete and instant view for the League/Combination, a club view for club secretaries and a team view for team managers. The league can see all results submitted since the start of the season and run reports which allows them to view key information about matches and referees. The club secretaries can view all match results and forms for their club and team managers all results and forms they have submitted.
The vast majority of match result forms are submitted on the day of the match – several days before they could be received under the postal system and due to the validation done at the time of data entry are considerably more accurate.
Replacing a posted card system with an automated database system has removed a lot of the drudgery required in manually checking some 600+ cards per week and saved the league administrators a huge amount of time.
Whilst this type of system can be implemented in any sporting league, databases can be applied to any business requiring the retention of data and fast access to it. We can implement databases for just about any business as well as sports leagues.
